Terms and Conditions – Little Owletts

These Terms and Conditions outline the rules and guidelines for participating in Little Owletts sessions. By booking your child onto any Little Owletts session, you agree to comply with these Terms and Conditions. Please read them carefully. In these Terms and Conditions, when we refer to “we“, “us” or “our“, we mean Little Owletts; and when we refer to “you” or “your” we mean you, the person making a booking. These Terms and Conditions become binding from when you receive the confirmation email for your booking.

Little Owletts

Little Owletts is a sole trader established in 2023. These Terms and Conditions are guidelines for our business and should you need to contact us regarding these, please send an email to: [email protected]

Registration

Parents or legal guardians must complete the booking form accurately and provide all necessary information about their child/children. Please ensure you notify Little Owletts of any changes to you or your child/children’s personal data as soon as possible by emailing [email protected] to ensure we have the most up to date, accurate information.

Attendance

Little Owletts is open to children between the ages of 0-4 years old and their parents/guardians. There are four different classes (Tiny Owletts, Baby Owletts, Explorer Owletts and Owletts Spa) which are designed to meet the needs of different stages of development. Children up to the age of 11 are welcome to join for parties and special sessions if accompanying family/friends. Little Owletts sessions are structured with a mixture of teacher-led developmental activities and child-led exploration. We aim to provide a welcoming and supportive atmosphere for both parents/carers and children. Although sometimes running late with children cannot be helped, please aim to arrive 5 minutes before the scheduled session start time. Health and Safety

Children must always be accompanied by a responsible adult over the age of 18 with a maximum of two children to one adult. Up to two adults are permitted per booking. The responsible adult must actively supervise their children throughout the Little Owletts session, including before, during and after whilst at our venues. Little Owletts is not responsible for any injuries, accidents, loss or damages that may occur during, before or after any sessions whilst at Little Owletts venues. Parents or legal guardians assume full responsibility for their child’s safety and behaviour. Parents are expected to ensure their child’s behaviour is respectful of others, the class leader and equipment at all times. If equipment is damaged due to misuse or improper handling, parents will be responsible for covering the replacement cost.

In the event of an accident occurring during a Little Owletts session, a staff member will provide basic first aid supplies for the parent /guardian to administer. Additionally, they will request the parent/guardian to complete an accident report form to ensure correct documentation of the incident.

Risk Assessments

At Little Owletts, a session leader conducts a risk assessment at all venues. While we make every effort to ensure a safe environment and use appropriate resources in a good condition, it is important to recognise that accidents can happen even in the safest of settings. Therefore, we kindly remind parents and guardians to supervise their child/children at all times before, during and after the session whilst at our venues. Little Owletts cannot be held liable for any accidents, injuries, loss or damages that may occur during our classes or at any other time within our venues.

Conduct and Behaviour

Attendees are expected to treat the session leader and all other attendees with kindness, respect and courtesy. Little Owletts reserves the right to request the immediate removal of any child who displays consistently disruptive or dangerous behaviour, as determined by the session leader. Parents or legal guardians are responsible for managing and disciplining their child’s behaviour during the session. During our sessions, it is imperative that you adhere to and comply with the reasonable instructions provided by the session leader otherwise this may result in permanent removal from Little Owletts sessions without a refund. 

Food and Drink

Other than babies needing milk feeds, we kindly request no food or drink is consumed near our matting area or resources. Any spillages must be reported immediately and cleaned to avoid this becoming a hazard.

Health and Medical

Parents or legal guardians must not bring their child to Little Owletts sessions if they are unwell or displaying symptoms of contagious illnesses to prevent the spread of infections. Please refrain from bringing your child if:

  • Your child has a fever or has had a fever within 24 hours of the session
  • Within 48 hours of the session, your child has had sickness or diarrhoea
  • Your child has a discharge from their eyes or heavy discharge from their nose
  • Your child is showing symptoms of the following: Covid 19, Norovirus (sickness and diarrhoea), Chickenpox, Measles, Mumps, German measles (rubella), Slapped cheek, Hand foot and mouth, Impetigo, Scarlet fever, Whooping cough.

Hygiene

Hygiene is carefully thought about at Little Owletts. Equipment is regularly cleaned and sanitised during and inbetween sessions and thoroughly washed after the sessions have finished for the day. We regularly check the state and cleanliness of all resources and replace them when necessary. We politely ask that all attendees remove their shoes and leave these at the edge of the venue to help keep our environment as clean as possible. In the interests of hygiene, all attendees apart from non-walking babies are expected to wear clean socks. Please ensure non-slip socks are worn by yourself and your child/children at all Little Owletts sessions.

Personal Property

If you leave any personal possessions unsupervised throughout our sessions, Little Owletts will not be held responsible for any loss or damage. 

Photography and Media

Filming and photography of your child/children during Little Owletts sessions is permitted and encouraged. While capturing these moments is welcomed, we request that all attendees respect the privacy and wishes of others who may choose not to have their child filmed or photographed. Before capturing images or videos of any child other than your own, please seek explicit consent from the child’s parent or legal guardian. Please respect their decision if they decline. If you happen to accidentally capture a child other than your own in the background of any content, please ensure you cover their face before posting online if you’re unsure about parental consent.

The leader at Little Owletts has the authority to request the cessation of photography or filming during sessions. Their decision is considered final and if this is disobeyed, you may be asked to leave the session with no refund.

Little Owletts have the right to film and photograph promotional material during sessions, but will be in accordance with permission sought at the booking stage from families. If this consent should change, please ensure you tell the Little Owletts class leader immediately and inform us officially by sending an email to [email protected].

Payments and Refunds

Parents or legal guardians are responsible for paying the applicable fees for their child’s Little Owletts sessions upon booking. Refunds will only be provided if the group activities are cancelled by Little Owletts with the exception of severe weather conditions forcing cancellation. No refunds will be issued for missed sessions or early withdrawal from a session/block of sessions unless we are able to resell your slot/s to another customer or Little Owletts chooses otherwise. If this is the case then we will offer a pro rata refund. Special sessions, parties, one-off classes and Owletts Spa are non-refundable and non-transferable. Little Owletts termly bookings can be transferred between sessions in the same term if space permits (e.g. moving a block booking of Tiny Owletts to Baby Owletts within the same term). All decisions are down to the discretion of Little Owletts and all decisions are final.

Changes and Cancellations

Little Owletts reserves the right to make changes to the schedule, activities or location of the sessions. We will notify parents or legal guardians in advance of any such changes.

In the event of severe weather conditions or unforeseen circumstances, Little Owletts may cancel or reschedule sessions. We will inform parents or legal guardians as soon as possible although we will not provide refunds for cancelled sessions due to severe weather conditions out of our control (e.g. heavy snow or treacherous conditions.)

Child Protection and Safeguarding

Little Owletts is committed to maintaining a safe and secure environment for all children. We will implement appropriate child protection and safeguarding measures to prevent harm. Parents and guardians take full responsibility for their child/children before, during and after Little Owletts sessions and must ensure constant supervision of their child/children. Therefore, although appropriate checks are conducted of Little Owletts staff members, no unaccompanied child will ever be left in a one to one situation with an unsupervised adult.

Parents, legal guardians or attendees who have concerns about the well-being or safety of a child during Little Owletts sessions are encouraged to report their concerns immediately to the session leader and follow this up with an email to [email protected]. Any reports or concerns related to child protection or safeguarding will be treated with the utmost confidentiality. Information will only be shared on a need-to-know basis with relevant authorities for investigation purposes. If you have any concerns of this nature, please email [email protected] immediately. 

Little Owletts will cooperate fully with any investigations or inquiries related to child protection and safeguarding.

Little Owletts staff members will receive appropriate training on child protection and safeguarding to recognise signs of abuse, respond effectively to concerns and follow reporting protocols. Parents or legal guardians are responsible for promptly informing Little Owletts of any relevant changes in their child’s circumstances or any information that may affect their child’s safety or well-being.

Our Legal Liability

Little Owletts, its staff and representatives shall not be held liable for any direct or indirect damages, injuries, losses or expenses incurred during the participation in Little Owletts sessions or whilst at Little Owletts venues.

Complaints Procedure

We hope to ensure that all parents/carers and children are happy and satisfied with Little Owletts sessions. However, if you do have a complaint, please complete the following steps so we can help to resolve the issue. 

Step 1 – Discuss your issue with the session leader at an appropriate time
Step 2 – Make a written complaint to us via email

All complaints will be taken seriously and thoroughly investigated. If you email a complaint, you will receive a response within one month of the original complaint email. Little Owletts have the final say on all decisions.

Breach

In the event of a breach of these Terms and Conditions, the following actions may be taken without prior notice:

  • We may issue a warning to you
  • We reserve the right to temporarily or permanently revoke your attendance at Little Owletts sessions without providing a refund or compensation
  • We may initiate legal proceedings against you to recover all costs associated with the breach, including reasonable administrative and legal expenses
  • We reserve the right to pursue further legal action as deemed necessary

Termination

Little Owletts reserves the right to terminate sessions for any attendee if there is a violation of these Terms and Conditions. Termination shall be at the sole discretion of Little Owletts and no refunds shall be provided in such cases.

By booking your child onto any Little Owletts sessions, you acknowledge that you have read, understood and agree to abide by these Terms and Conditions. Little Owletts reserves the right to update or modify these Terms and Conditions as necessary.

Additional Information

Every clause in these Terms and Conditions works separately. If a court or authority decides that any part is not allowed or cannot be enforced, the other clauses will still apply.
